Project Failure Files: Conflating Operations with Projects
In Episode 26 of the Project Failure Files weekly webcast, our focus was “Operational Support vs. Defined Projects,” in which Sharon and I focused on the essential distinctions between operational support and defined projects, emphasizing the importance of clear boundaries and expectations for successful project management. Operational support involves ongoing, reactive tasks that sustain daily business functions, while defined projects are temporary efforts with specific objectives and timelines. We explored how conflating these roles can lead to inefficiencies, accountability gaps, and strained resources, ultimately impacting both project outcomes and service quality.
We discussed the risks associated with blending operational and project responsibilities, such as inconsistent focus, delayed timelines, and burnout from task-switching. Without clear separation, teams may experience reduced innovation, collaboration challenges, and budget overruns as resources are misallocated. This overlap often causes confusion about priorities and strains team morale, detracting from both operational stability and project delivery.
To address these challenges, we outlined strategies for maintaining role clarity and transitioning seamlessly between operations and projects. Key approaches include creating dedicated teams, establishing governance frameworks, and implementing prioritization systems to balance immediate operational needs with long-term project goals. By defining roles, providing training, and ensuring smooth handovers, organizations can maintain efficiency and ensure that both operational support and project management contribute to their strategic success.
