Project Failure Files: No Clear Roles and Responsibilities
In Episode 35 of the Project Failure Files weekly webcast, our focus was “When Everyone’s in Charge,” in which Sharon and I explored the common pitfalls of unclear roles and responsibilities in project management. Without defined ownership, teams experience confusion, duplicated efforts, and missed deadlines, often leading to finger-pointing and strained relationships. The discussion highlights the necessity of setting clear expectations, avoiding role overlap, and fostering a culture where every team member understands their contribution to project success.
To address these challenges, the episode introduced practical frameworks such as RACI (Responsible, Accountable, Consulted, Informed) and how similar models (like DACI – Driver, Approver, Contributor, Informed) can help teams map out responsibilities more effectively. We also emphasized the importance of communication strategies, including written documentation, structured handoff processes, and project management tools to ensure clarity and accountability. These practices not only streamline decision-making but also help prevent bottlenecks that slow down project execution.
Ultimately, the conversation underscored how well-defined roles contribute to improved team morale, career growth, and overall efficiency. By prioritizing role clarity, organizations can reduce friction, enhance collaboration, and achieve more successful project outcomes. Project managers are encouraged to proactively define, communicate, and refine team responsibilities to foster high-performing teams and sustainable project success.
